Modern Slavery and Human Trafficking Statement for financial year ending 31 December 2023



Introduction


Slavery has legally been abolished in all countries in the world but practices akin to it are widespread to this day. Such practices, often termed “modern slavery” or “human trafficking”, include forced labour, indented labour, domestic servitude and child labour, amongst other abhorrent practices.

At IFS, we are committed to playing our role in eradicating modern slavery and human trafficking in all forms. We have taken steps to ensure that our business and supply chain are free from modern slavery and human trafficking. These efforts include actions to ensure that everyone who works for IFS does so in an environment in which human rights are respected and anyone that we do business with also upholds these principles.

This statement details those efforts and is issued pursuant to Section 54 of the Modern Slavery Act 2015 (the “Act”). It relates to actions taken by or on behalf of IFS Limited, IFS AB and members of the IFS Group (all defined below). The statement is made for the financial year ending 31 December 2023.

Organisation Structure


The IFS group incorporates Industrial and Financial Systems, IFS AB (“IFS AB”), Industrial and Financial Systems, IFS UK Limited (“IFS Limited”) as well as a number of other companies. IFS AB is the parent company of the IFS group of companies. The entities covered by this statement are IFS Limited, IFS AB and all majority owned subsidiaries of IFS AB or its subsidiaries (“IFS Group”), including in countries such as Australia, Canada, France, Germany, and the USA where similar modern slavery legislation is in force. IFS also enforces our commitments within the IFS Code of Conduct in all IFS entities globally.

The IFS Group is a globally recognised leader in developing and delivering enterprise software for Enterprise Resource Planning (ERP), Enterprise Asset Management (EAM) and Enterprise Service Management (ESM). We offer applications that enable companies to respond quickly to market changes and use resources in a more agile way to achieve better business performance and competitive advantage.

IFS AB is a private company founded in Sweden in 1983. IFS solutions are used by thousands of customers worldwide through a network of local offices and a growing ecosystem of partners. IFS' solutions are known for being user-friendly, modular in their design and flexible enough to support customers in their way of working according to their established processes. Our business philosophy and architecture provide solutions that are easier to implement, run and upgrade.

The IFS Group supports thousands of customers across 50 countries.
There are currently over 6000+ people employed by the IFS Group worldwide, all of whom are subject to pre-employment checks to ensure their right to work and to confirm their identity. All employees are provided with information about their statutory rights and paid above the applicable minimum wage. We require our recruitment agencies to comply with all applicable legal requirements.

IFS has a sustainability strategy designed to drive action against material environmental, social and governance (ESG) topics where we can have the biggest impact. This is framed around three key pillars which support a clear and actionable mission: ‘Excellence in Our Business’, ‘Supporting Our Customers’ and ‘Making a Broader Impact’. The topic of human rights is captured in ‘Excellence in our own business’, which focuses on improving our operational sustainability performance, including risk management. This is detailed in the 2023 Sustainability Report.

IFS is a signatory to the UN Global Compact and has identified its focus areas for the UN Sustainable Development Goals as reduced inequalities, climate action, industry, innovation and infrastructure, good health and well-being, and quality education.

IFS has nominated Board Director Jacqueline de Rojas CBE as having responsibility for sustainability within the Board of IFS. The Chief Sustainability Officer at IFS oversees progress against the sustainability strategy and chairs a quarterly ESG SteerCo consisting of executives and colleagues with responsibility for elements of this agenda. In April 2023, IFS launched its network of Sustainability Business Partners. These are senior leaders within each business function nominated by executives to drive sustainability within their function, and a crucial part of embedding sustainability in IFS operations, including protecting and upholding human rights.

Our Policies in Relation to Modern Slavery


Our Code of Conduct and supporting policies in Procurement and Human Resources (HR) support us in mitigating the risk of modern slavery taking place in our business.

At IFS, we take immense pride in our identity as a responsible and compassionate employer. Our commitment is rooted in the fundamental principles that labour must be freely chosen, and workers should be able to leave employment without impediment, with due regard to reasonable notice requirements.

Ensuring Fair Recruitment and Treatment


To uphold these principles and eliminate modern slavery at all costs, our HR policies and guidelines articulate our unwavering commitment to fairness and ethical treatment. We ensure to:


  • Recruit and select employees in a fair, lawful, and professional manner, both for internal and external candidates.
  • Manage agency supplier terms that mandate compliance with the UK Modern Slavery Act 2015.
  • Ensure fair treatment of all employees during their tenure, with clear procedures in place for raising grievances if any employee feels they have not been treated fairly.
  • Maintain open avenues for employees to report concerns about slavery, human trafficking, or any other HR matters and Code of Conduct violations, link to our whistleblowing platform WhistleB, Whistleblowing Centre.
  • Manage employee exits from the business in a fair and consistent manner.

Continuous Improvement and Future Initiatives


In 2024, IFS is committed to reviewing and updating the IFS Code of Conduct and our accompanying policies and procedures, reinforcing our dedication to ethical standards. Additionally, we have launched a whistleblowing platform, providing a secure space for employees, suppliers, and customers to report concerns about any potential violations.


We recognise that our responsibility extends beyond our immediate workforce, and we are actively engaged in creating an environment where every individual is treated with dignity, respect, and fairness.

Risk Assessment


As an international company, IFS leveraged over 2000 suppliers for goods and services in 2023 We regularly explore ways to improve our end-to-end supply chain visibility and strengthen our ability to identify areas that could potentially be exposed to the risk of slavery and human trafficking, as identified by the Global Slavery Index. This ensures our standards are fully met, and to act and remedy where they are not.


Supply Chain Due Diligence and Audit


IFS requires all prospective suppliers to meet certain minimum standards as outlined in our Supplier Code of Conduct. We have audit rights to ensure compliance with our standards, as well as any relevant laws and regulations. We maintain supplier policies that ensure both IFS and our suppliers’ commitment to:

  • The UK Modern Slavery Act 2015, or equivalent laws, statutes, or regulation in other jurisdictions where similar anti-slavery laws apply;
  • Maintaining policies and operations against human trafficking and modern slavery, including the same extension to sub-contractors; and
  • Practising traceable, ethical trade throughout the supply chain.

The IFS Procurement team manages the IFS supply chain, overseeing supplier vetting, onboarding, and assurance processes, as well as monthly reporting and supplier audits. Before being awarded a new contract, prospective suppliers undergo risk assessments and pre-qualification checks and are required to commit to compliance with all local and national laws and regulations, including those related to combating slavery and human trafficking.



Combating Modern Slavery Within IFS Supply Chains


At IFS, we are committed to preventing modern slavery and human trafficking from occurring within our supply chains and any part of our global business. We recognize the importance of ethical and sustainable sourcing, and we maintain policies that set out clear steps to achieve this goal.

Most of IFS’ supply chain is of a low-risk nature when reviewed in the context of the 2018 Global Slavery Index. To ensure compliance and mitigate any potential risks, we have implemented several measures for our Procurement activities:

  • We have published our IFS Supplier Code of Conduct on our website, which we require all suppliers to commit to when contracting with IFS.
  • Our standard supplier contracts include robust clauses specific to modern slavery.
  • We continue to include the Supplier Code of Conduct in our Procurement training for staff who may engage contractors or any other third party engaged by IFS.
  • We maintain avenues for our suppliers to report any concerns they may have about slavery and human trafficking.
  • We have updated performance standards for IFS Procurement to ensure social targets are evaluated alongside commercial deliverables.

To help evaluate and further strengthen our practices, IFS engages with EcoVadis, a leading supplier of business sustainability ratings for global supply chains, for certification in select geographies. In 2022, we participated in this benchmarking at a Group level and are combining the recommendations of the benchmark with the IFS Procurement roadmap to continue improving our efforts in combating modern slavery.


In 2024, IFS will continue to strengthen its practices for identifying and mitigating the risks of slavery and human trafficking in its supply chains. This will involve:


  • Conducting annual reviews of purchasing practices to ensure they support IFS's modern slavery goals.
  • Updating performance standards for IFS Procurement to ensure social targets are evaluated alongside commercial deliverables.
  • Strengthening IFS Procurement’s internal policies, procedures, accountability, training, and awareness.
  • Establishing a mix of quantitative and qualitative indicators to measure IFS Procurement’s efforts to reduce, prevent, and remedy negative impact.
  • Introducing real-time supply chain risk reporting to assess all active suppliers.
  • Implementing total supplier volume reduction initiatives to develop long-term business relationships and increase leverage, openness, and cooperation.
  • Formalising labour provider relationships along the supply chain.

Training and Communication


To make employees aware of the Act and the drivers of modern slavery, we share this statement with all employees through our internal communication channels and a copy of this statement is available on the IFS website.


In 2023, we continued to build on the successes of the previous year. Anti modern slavery training is a standard feature of our compliance training program, which is assigned to all new starters as part of the onboarding process. Throughout the year, we drove the importance of completing this training and by the end of the year achieved 92% completion rate across the entire organization. In addition, we assigned the IFS Code of Conduct for all employees to read, which reinforces this message and its relevance to IFS and all of its employees.


In 2024, we will be replacing our anti modern slavery training to ensure the content is kept up to date and relevant. In addition, employees will be re-issued the policy and IFS Code of Conduct for a comprehensive approach to this training. Additional monitoring processes are also being implemented to drive a higher completion rate for 2024.

The IFS Sustainability (ESG) Steering Committee will monitor and continue to improve the steps we take to combat slavery and human trafficking.

We ensure that all employees have access to these policies through an internal platform. In 2023, IFS intends to review and update the IFS Code of Conduct. A whistleblowing platform will also be made available in 2023, which will enable employees, suppliers, and customers to report any concerns.

Training and communication

In 2022, IFS employees were assigned updated training on Modern Slavery. This two-part training consisted of a third-party training module designed to explain the definition of Modern Slavery, warning signs and legal ramifications. This was then followed by a link to the IFS Anti-Modern Slavery and Human Trafficking policy.

The Modern Slavery and Human Trafficking course is now embedded in onboarding training for new employees globally. This ensures new, as well as existing, employees are aware of their responsibilities. IFS will refresh and update this training periodically, where appropriate.

In 2023, we will continue to build on our initiatives to ensure that employees are equipped with the knowledge and understanding to recognize and combat modern slavery. This reflects our company's commitment to ethical and responsible business practices, and we are committed to making it a reality

As an international company IFS uses a wide range of suppliers; we seek to identify aspects of our supply chain potentially exposed to the risk of slavery and human trafficking, as articulated by the Global Slavery Index. We have in excess of 2800 suppliers, mostly providing services, but like many organisations, the next tier(s) of the supply chain need to be better understood for us to ensure our standards are met and exert greater influence where they are not.

Due diligence and audit of suppliers and supply chain


IFS operates a supplier onboarding procedure that requires all suppliers to achieve certain minimum standards. These are explained in our Supplier Code of Conduct, which together with our Terms of Business gives us audit rights to ensure compliance with our standards, and any relevant laws and regulations.

IFS maintains the following supplier policy requirements:

  • Commitment to adhere to and comply with the UK Modern Slavery Act 2015, or equivalent laws, statutes or regulation in other jurisdictions where similar anti-slavery laws apply
  • Commitment to maintain and practice their own policies and operations in the fight against human trafficking and modern slavery, including the same extension to sub-contractors
  • Commitment to traceable, ethical trade throughout its supply chain


The IFS supply chain is governed and operationally managed by the IFS Procurement Service Centre (“PSC”) which oversees the vetting process, monthly reporting and supplier audits. Prior to being awarded a new contract in IFS, candidate suppliers will undergo certain risk assessments and must expressly commit to complying with all local and national laws and regulations, including those that relate to combating slavery and human trafficking.



Assessment of our effectiveness in combating modern slavery within our supply chain


Being an enterprise software company, when reviewed in the context of the 2018 Global Slavery Index most of IFS’ supply chain is of a low-risk nature and we maintain policies which set out steps for ethical and sustainable sourcing in all areas of our business.

IFS is fully committed to preventing modern slavery and human trafficking from occurring within our supply chain or any part of our global business. To achieve this, for our procurement activities we have:

  • Published our IFS Supplier Code of Conduct on our website (www.ifs.com) which we ask suppliers to commit to when contracting with IFS;
  • Included robust clauses in our standard supplier contracts specific to modern slavery
  • Continued to include the Supplier Code of Conduct in our procurement training for staff who may engage contractors or any other third party engaged by IFS; and
  • Maintained avenues for our suppliers to use to report any concerns they may have about slavery and human trafficking

IFS Group companies engage with EcoVadis, which provides supplier sustainability ratings for global supply chains, for certification in select geographies. In 2022, we will participate in this benchmarking at a Group level.


Training and communication


To make employees aware of the Act and the drivers of modern slavery, we share this statement with all employees through our internal communication channels and a copy of this statement is available on the IFS website.

In March 2021, all IFS staff were invited to attend a structured, interactive online training course about Modern Slavery and Human Trafficking to raise awareness for the role they play in mitigating the risk of modern slavery in our operations and ensuring we work with suppliers who uphold the same ethical principles as us. This training was made mandatory for all employees within our HR and Procurement teams, with follow up in place to ensure completion and a positive passing rate, which is recorded in our online training tool.

The Modern Slavery and Human Trafficking course is also embedded in onboarding for all employees globally. This ensures all new employees, regardless of their position or department, are aware of their responsibilities. IFS aims to refresh and update this training to all staff periodically.

Throughout 2022, Modern Slavery and Human Trafficking training will be incorporated as a module in global, mandatory training for all IFS employees. This training will be developed to include IFS- specific actions and links to relevant policies.

We have therefore taken steps to ensure that our business and supply chain are free from modern slavery and human trafficking.   • Treat all employees fairly during their employment and, if there is an occasion when an employee does not feel that they have been treated fairly, there are procedures in place to raise a grievance.
  • Maintain avenues for our employees to report any concerns they may have about slavery and human trafficking as well as other HR matters or code of conduct violations;

  • Manage the exit of an employee from the business in a fair and consistent manner.

We ensure that all employees have access to these policies.

Risk assessment


IFS has given consideration to those parts of its business and supply chains that are exposed to the highest risk of slavery and human trafficking. The overall risk profile of IFS’ supply chain is considered to be low. One notable feature of the supply chain is that IFS does not buy goods directly. The most elevated risk profile within IFS’ supply chain derives from the purchase of services where suppliers may use low-skilled or low-paid labor (for example with regard to cleaning).

IFS maintains a comprehensive Supplier Pre-Qualification Questionnaire that requires all of our suppliers to commit to certain minimum standards, including our Supplier Code of Conduct, together with our Terms of Business which allow for site inspection and/or audit of their own policies on modern slavery and human trafficking among other ethical sourcing standards.

The management of the IFS supply chain became the responsibility of the Procurement Service Centre (“PSC”) during the financial year. The PSC now requires all new suppliers to fill out the questionnaire as part of the on-boarding process. Over 400 questionnaires were issued to new suppliers during the financial year. No slavery or trafficking related concerns were identified.

Assessment Of Modern Slavery Risk Within Our Supply Chain


IFS UK Ltd has undertaken a detailed review of our business operations in response to the Modern Slavery Act 2015. This is driven by the CSR Steering Committee which was formed in 2016 to drive leadership on this and other ethical and social responsibility issues.

Our biggest employee supplier is the Global Support Organisation which is part of our Sri Lanka operation. Consequently, this was identified as the largest risk area within our own supply chain due to the large number of off-shore workers not directly employed by IFS UK Ltd.

Following a full audit we can confirm that the operation conforms with Human Dignity, Human Rights and Ethical Trading. They follow all accepted and implied standards in the full employment cycle - from sourcing to resignation. They comply with the legal framework (including constitutional rights of individuals and the labour law framework) and have no reported cases regarding any of the above.

All staff sourcing (which is the only sourcing method) is done through Universities (graduate hires) or Industry (lateral hires of graduates with experience), which eliminates any likelihood of child labour.

Wages are in line with industry standards (benchmarked against industry-wide salary surveys) and best practices and IFS Sri Lanka is ranked one of the top employers of graduates in Sri Lanka. They follow all human dignity and diversity standards during hiring. They are an equal opportunities company. IFS Sri Lanka has been listed as one of the top 25 Best Companies to Work in Sri Lanka for three consecutive years which supports the fact they are fair, and provide a good working environment and culture.

Due Diligence And Audit Of Suppliers And Supply Chain


IFS UK has updated its Supplier Pre-Qualification Questionnaire to require suppliers to provide copies of their Modern Slavery Statement as part of our procurement process.

Where no statement is available, IFS UK will work with the supplier to ensure compliance with the requirements of the Act.

IFS UK Ltd has undertaken a detailed review of our business operations in response to the Modern Slavery Act 2015. This is driven by the CSR Steering Committee which was formed in 2016 to drive leadership on this and other ethical and social responsibility issues.

Our biggest employee supplier is the Global Support Organisation which is part of our Sri Lanka operation. Consequently, this was identified as the largest risk area within our own supply chain due to the large number of off-shore workers not directly employed by IFS UK Ltd.

Following a full audit we can confirm that the operation conforms with Human Dignity, Human Rights and Ethical Trading. They follow all accepted and implied standards in the full employment cycle – from sourcing to resignation. They comply with the legal framework (including constitutional rights of individuals and the labour law framework) and have no reported cases regarding any of the above.

All staff sourcing (which is the only sourcing method) is done through Universities (graduate hires) or Industry (lateral hires of graduates with experience), which eliminates any likelihood of child labour.

Wages are in line with industry standards (benchmarked against industry-wide salary surveys) and best practices and IFS Sri Lanka is ranked one of the top employers of graduates in Sri Lanka. They follow all human dignity and diversity standards during hiring. They are an equal opportunities company. Due Diligence And Audit Of Suppliers And Supply Chain


IFS UK has updated its Supplier Pre-Qualification Questionnaire to require suppliers to provide copies of their Modern Slavery Statement as part of our procurement process.

Where no statement is available, IFS UK will work with the supplier to ensure compliance with the requirements of the Act.

The CSR Steering Committee will monitor the training and agree next steps to continue to build awareness.

This is the first statement made on behalf of IFS UK Ltd pursuant to Section 54(1) of the Modern Slavery Act 2015. This statement sets out the steps that IFS UK Ltd has taken to ensure that slavery and human trafficking is not taking place in any part of our business or that of its supply chain.

Training


IFS UK recognises the importance of raising awareness of the human rights aspects of slavery and trafficking and consider this is a fundamental step in preventing it occurring within our supply chain.

All employees are required to complete the modern slavery module and all new employees will receive this training as part of their onboarding experience.
